If the U.S. trade show circuit is a Broadway production, the Dutch version is a high-precision Swiss watch—only with better coffee and significantly more bicycles. It’s a masterclass in efficiency, directness, and punctuality.

Here’s the least you need to know about exhibiting in the Netherlands.

The Dutch Mindset

Before you ship a single crate, you need to adjust your mindset—and maybe your exhibit-marketing strategy. Here are several cultural calibration tips.

  • Expect Direct Feedback: The Dutch opt for honesty over politeness. So forget the sandwich method (where you mash criticism between two slices of compliments). If a Dutch prospect thinks your solution won’t work for them, they’ll tell you straight up and won’t mince words. Don’t be offended; they’re actually saving you time.
  • Master Your Minutes: In the U.S., 10:05 is on time for a 10:00 appointment. In the Netherlands, 10:05 requires an apology. Arrive exactly on time or maybe a smidge early.
  • Tone it Down: Aggressive sales efforts are seen as gauche. So staff should act as consultants, not carnival barkers working the aisles. And always offer a high-quality espresso—the lubricant of Dutch commerce—alongside conversations.
  • Ditch the Drive-Bys: Europeans generally prefer to schedule meetings with exhibitors rather than simply happening upon a stand and stopping in for a chat. So don’t rely on drive-by traffic; book appointments with key prospects early.
  • Master the Menus: If you aren’t offering coffee, you aren’t doing business. So expect multiple in-booth “koffie” breaks throughout the day. Then look for a minimalist sandwich lunch and a 5 p.m. or 6 p.m. wrap-up, and skip the dinner meetings. In fact, if you’re pitching a dinner meeting to a new contact, you’re overplaying your hand.
  • Broaden Your Vocabulary: The Dutch speak better English than most native speakers, but the show is probably international. If you want to sell to the Germans, French, or Italians walking the floor, your multilingual materials are your secret weapon.

Logistics

When making their first foray into European events, many exhibitors take the “I’ll figure it out when I get there” stance Spoiler: You won’t. Here are several tips to sidestep logistical challenges.

  • Secure an ATA Carnet: This is your merchandise passport. Without it, you’ll be forced to pay a 21% VAT and customs duties upfront. Plus, an ATA Carnet simplifies the paperwork for reusable materials and ensures you don’t need to request a VAT refund, which can take months or years to secure.
  • Adopt the Metric System: Forget inches and feet. Stand space is sold in square meters, and everything from bolt sizes to graphic panels is measured accordingly. If you try to force U.S. dimensions into a Dutch hall, nothing will fit.
  • Convert Your Power: The Netherlands runs on 230V/50Hz with Type F plugs. Some electronics adapt to power differences automatically. Others fry to a crisp with you plug them in. Check your gear carefully to determine if you need both plug adaptors and currency convertors. Or, consider renting electronic equipment on site.
  • Prioritize Modular Design: While custom builds are common in the United States, the Dutch favor shell schemes and modular systems. They are cleaner, more sustainable, and significantly more cost-effective. Plus, labor crews assemble them at lightning speed.
  • Pad Your Shipping Timeline: Ship your materials four to six weeks in advance at minimum. Port congestion and customs inspections don’t care about your move-in schedule. So work with a freight forwarder who specifically understands the quirks of venues like the RAI or Ahoy.
  • Book Your Tech Needs Early: Internet, electricity, and water connections are often handled by official venue contractors, and these services get more expensive the longer you wait to order them. Lock in your orders at least eight weeks out to avoid last-minute surcharges.
  • Cover Your Assets: Ensure your business insurance covers international exhibiting. Liability requirements and standards may differ from those in the United States.

As an exhibitor, you usually don’t pick the venue, but it’s your job to navigate it effectively. Each of the Netherlands’ big four centers has a distinct operational DNA, from Amsterdam’s global scale to Rotterdam’s industrial grit.

  • Material Handling: Ship to the advanced warehouse for better rates; be wary of surcharges for uncrated freight, late or off-target deliveries, and mixed shipments.
  • Sustainability: Sustainable exhibiting is a priority in Europe. Be ready to discuss or adopt eco-friendly booth practices and waste management, and consider using sustainable materials.

The ATA Carnet & Customs

  • Avoid the 21% VAT: Use an ATA Carnet for professional equipment and samples you intend to take back to the United States. This single document replaces cash deposits or bonds that can take six to 24 months to recover.
  • Documentation: Ensure you have commercial invoices (with HS codes) and proforma invoices ready.
  • Note: Free giveaways and brochures generally can’t be listed on the Carnet as they usually remain in the Netherlands when you leave.

  • The “Koffie” Factor: If exhibiting between October and March, offer warm beverages—the rainy weather makes your booth a welcome refuge.

  • Electrical & Catering: Verify power needs early for industrial demos. On-site catering is pricey, so many exhibitors bring their own provisions when permitted.
  • Navigation: The complex is sprawling. Use clear instructions to guide meeting guests and staff.
